Open MS Access program 1. select Microsoft Access from the Start/Programs menu 
(sometimes in an Office 97 submenu)
 
Create the Mailing Labels database 2. click on Blank Database at the Microsoft Access window 
3. click the OK button 
4. type Mailing List in the File name box 
5. click Create button
 
Create a table 6. click New button 
7. highlight Design View 
8. click OK button


Create and define fields 

(see Figure 1)

9. type Record Number 
10. press Tab key 
11. click on Popup Menu button under Data Type label . . . 
12. click on AutoNumber option in popup menu 
13. select Primary Key from Edit menu 
14. click in next empty box under Record Number 
15. type First Name 
16. press Tab key 
17. change field size to 15 
18. click in next empty box under First Name 
19. type Last Name 
20. press Tab key 
21. change field size to 20 
22. click in next empty box under Last Name 
23. type Street Address 
24. press Tab key three times 
25. type City 
26. press Tab key 
27. change field size to 15 
28. click in next empty box under City 
29. type State 
30. press Tab key 
31. change field size to 2 
32. click in next empty box under State 
33. type Zip 
34. press Tab key 
35. change field size to 10

 

Save Mailing Labels table 36. select Save from File menu 
37. type Mailing List 
38. click OK button


Close Mailing Labels table 39. click Close button in upper right corner of Mailing List: Table window . . .

Create Mailing Labels input form 

(see Figure 2)

40. click on New Object button on the toolbar . . . 
41. select Design View from the View menu 
42. doubleclick on Record Number field (on the right) 
43. click Data tab at top of Text Box: Record Number window 
44. set Enable to No by doubleclicking on it 
45. set Locked to Yes by doubleclickling on it 
46. click Close button in upper right corner of Text Box: Record Number window . . . 
47. select Form View from View menu

     

Save Mailing Labels input form 48. select Save from the File menu 
49. click OK button


Enter Data (SEE FIGURE 4 BELOW FOR RECORDS TO ENTER)

50. type the first name-and-address information into the form 
51. click New Record button at bottom of window . . . 
52. press the Home key to go to the top of the record 
53. type in the second name-and-address information 
54. repeat steps 51-53 until all addresses are inputted

Close Mailing Labels input form 55. click Close button in upper right corner of Mailing List window . . .

Print Mailing Labels

56. click Reports tab 
57. click New button 
58. click Label Wizard option 
59. click Popup Menu button . . . 
60. click on Mailing List 
61. click OK button 
62. click on 5160 
63. click Next button twice 
64. click First Name 
65. click Add button . . . 
66. press Spacebar 
67. click Add button (Last Name highlighted) . . . 
68. press Enter key 
69. click Add button (Street Address highlighted) . . . 
70. press Enter key 
71. click Add button (City highlighted) . . . 
72. type , and press Spacebar 
73. click Add button (State highlighted) . . . 
74. press Spacebar three times 
75. click Add button (Zip highlighted) . . . 
76. click Finish button 
77. select Print from File menu 
78. click OK button 
79. click Close button in upper right corner of Labels Mailing List: Report window . . .

      .

Exit MS Access 80. select Exit from the File menu
